What Is a Resource and How To Set Them Up

Use resources to manage and maximise the availability of your product sessions.
A resource can be a physical space (venue, room), a vehicle, equipment, a guide, etc. You can share resources across multiple sessions; e.g., you can assign the same boat to multiple (product) sessions that run at the same time or overlap, and, depending on which product gets booked first, all other products sharing the same resource become automatically unavailable.
How to set up a resource
- Click Inventory.
- Select Resources.
- Click the New resource button.
From within the New Resource window:
- Give the Resource a Name.
- Select the Type. Rezdy comes with a long list of resource Types to cater to most business types. Click here to learn more about resource types.
- Availability: Tick this box if the Resource has limited availability, e.g., 50 seats on a bus
- Shared Resource vs Private Resource
- Shared Resource: Availability can be shared between products and sessions
- Tick this box to share this Resource between 2 products/sessions, e.g., use a bus for 2 different tours that start at the same time.
- Private Resource: Availability can be shared between bookings
- Untick this box if this Resource can only accept one booking, e.g., a private bus tour.
- Shared Resource: Availability can be shared between products and sessions
Shared vs private resource examples
Depending on the type of activity you run, tick either both options or only one. Below are examples and use cases of all 3 combinations.
Shared resource
In this scenario:
- I run 4 different guided tours that use the same bus, and
- Capacity is shared across all sessions as customers make bookings.
Resource configuration
Calendar configuration
The system assigns the bus resource to all 4 products/sessions in the calendar.
As customers make bookings, the capacity is reduced and shared across all products/sessions.
Reserved resource
In this scenario:
- I run 4 different types of cooking classes that start at the same time or overlap.
- My chef can only run a single class at a time.
- I want to maximise my online exposure and advertise all classes as available.
As soon as a customer books a class, I want my chef resource reserved for that class only, and I want the other 3 classes made unavailable.

Calendar configuration
I assign my chef resource to all 4 products/sessions in the calendar.
As soon as a customer books a cooking class, the other 3 are no longer available, allowing me to fill the 1 class.
Private resource
In this scenario:
- I run 4 different types of private helicopter tours that start at the same time or overlap.
- I have 1 helicopter that can only run 1 tour at a time.
- I want to maximise my online exposure and advertise all tours as available.
As soon as a customer books 1 tour, I want the other 3 tours to become unavailable. I also need the system to convert the booked tour to a private tour.

I assign my helicopter resource to all 4 products/sessions in the calendar.
As soon as a customer books a tour, all other helicopter tours are no longer available, including the one that was booked, effectively making it a private tour.
