How To Set Up the Follow-up Email Templates

Overview

Sending follow-up emails to your customers is a powerful marketing tool. Thank your customers with a discount coupon, enticing them back, and allow them to rate their experience and leave feedback.

Rezdy allows you to schedule a maximum of 3 Follow-up emails at certain amounts of days or hours after the start date and time of the tour/activity. For example:

Follow-up Review (1st): 2 hours after.
Follow-up Recommend (2nd): 7 days after.
Follow-up Coupon (3rd): 14 days after.

Note: This article will only discuss the Introduction text, Conclusion text, and FollowUp Details sections. For all other sections of the template, click here to learn more.

Improve email deliverability

If your customers inform you that your emails are falling in to spam/junk folders, or completely blocked (due to DMARC policies), you can set a Rezdy owned domain as your 'From' email address. This will ensure your emails are being delivered to your customers' inbox.

How to find your email templates

Click Settings.
Select Emails.
Click Email Templates.
Select a template to customise.

Introduction text

This text will make up the welcome message of the follow-up emails for all products.

Enter the desired information in the text box.
You will see the preview on the right update as you type.

FollowUp Details

This will make up the main body of the email:

Enter the desired follow-up message in the text box.
Set the amount of Hours/Days after the tour end time.

Important: The information within the Follow-up Details section will be sent out for ALL products. If you need to have product specific details, keep scrolling to learn more.

Conclusion text

This text will make up the signature of the email templates.

Enter the desired information in the text box.
You will see the preview on the right update as you type.

How to set up Product specific details

At the top of the template page, click the Configure Products button.

Within the Configure Products window:

Tick the Send a follow-up box.
Set the amount of hours/days.
Click the Customise button.
Enter the desired text for the specific product/tour.

Note: The Personalise shortcodes are not supported within the Configure Products section.

Tip: In the above example, the 2 products that are ticked to send a follow-up (but not customised) will use the default FollowUp Details configured on the template itself.

GDPR compliance & marketing emails

Our follow up and marketing emails adhere to GDPR compliance rules. If you have enabled GDPR Compliant emails, and your customers do not tick to receive marketing emails upon checkout; then your follow up emails will not be sent.

How to use the Personalise shortcodes

These shortcodes will be replaced with unique Order, Customer, and Company information. For example {{COMPANY_NAME}} will be replaced with the Company Name within the Settings > Edit My Profile page.

The codes can be used in the Introduction Text, Conclusion Text, email body and Subject sections of the email templates.

{{ORDER_NUMBER}}	will display the order number e.g. R450D93
{{ORDER_STATUS}}	will show the status of the order, e.g. CONFIRMED
{{ORDER_STATUS_HELP}}	will display information depending on the status of the order. For example, a booking in an ON HOLD status will display "Your Order is not confirmed, you have been placed in the waiting list. Please wait for confirmation"
{{ORDER_AMOUNT_DUE}}	shows a balance owing, if Order is full paid it will show AUD0.00
{{ORDER_PAYMENT_LINK}}	displays a payment request link allowing the customer to pay remaining balance.
{{CUSTOMER_FIRST_NAME}}	will show the customer's first name
{{CUSTOMER_LAST_NAME}}	will show the customer's last name
{{CUSTOMER_EMAIL}}	will show the customer's email
{{CUSTOMER_NAME}}	will show customer's full name
{{COMPANY_NAME}}	will show the Company Name within your Settings > Edit My Profile page
{{COMPANY_URL}}	will display your website URL
{{COMPANY_EMAIL}}	will show the Email within your Settings > Edit My Profile page
{{COMPANY_PHONE}}	will show the Phone Number within your Settings > Edit My Profile page
{{COMPANY_ADDRESS}}	will display the Business Address within your Settings > Edit My Profile page
{{PRODUCT_NAME}}	will display the name of the product booked
{{PRODUCT_URL}}	will show the direct product URL
{{PRODUCT_IMAGE_URL}}	will show the direct product image URL
{{PRODUCT_DESCRIPTION}}	will display the product's brief description
{{PRODUCT_TERMS}}	will display the product's specific terms and conditions
