Sharing Resources Across Multiple Product Sessions
FollowOverview
There are several ways to manage your online availability in Rezdy. Ranging from a basic fixed limit per session, to a more advanced resource configuration.
This article will demonstrate how you can maximise your online exposure, allowing you to advertise more products and tours online, at the same time automatically reduce availability across all sessions as soon as a booking is made.
Examples of shared resources
These examples will demonstrate how resources can be used to maximise your online exposure, and are suitable for the following business types:
- Day Tours.
- Multi-day Tours.
- Guided Tours & Activities.
- Bus Tours.
- Wineries.
- Cooking Classes.
- Flight Tours.
- Private Tours.
Here is an example of a resource shared across two separate tours that start at the same time (or overlap each other). Below are the 3 resource configurations, and examples of how a booking can affect the availability for all sessions. |
|
Three resource configurations |
|
1. Shared resource As soon as a booking is made; the capacity is continually shared and updated across all sessions until capacity is reached. Example: A bus that you use for 2 different tours at the same time. |
|
2. Reserved resource As soon as a booking is made; the resource's capacity is reserved to the booked session only. All other sessions are no longer available. Example: An instructor that can run 1 class at a time. |
|
3. Private resource As soon as a booking is made; all other sessions are no longer available, and the booked session is also full. Example: A helicopter used for private flights. |
|
Product configuration
To assign resources to your product sessions, the scheduling options for your product must be set up as per below.
Within a product's configuration page:
- Click the Scheduling tab.
- Ensure that Dates available is set to Fixed dates & times; and
- Availability is set to Limited - by resources per session.
Tip: You can still assign resources to a product's session using other Availability options e.g. Limited - Fixed limit per session.

Assigning resources to sessions
When assigning resources to a session, you can assign them in the order that best suits your operations. As bookings are created, they will use the capacity from the 1st resource, and then move onto the next resource, and so on until capacity is reached.
This is useful if you want to fill a specific resource first. For example below; the resource (Big Bus) with the highest capacity is assigned first, therefore all bookings will be automatically assigned to this resource as they are created, and eventually move onto the next resource.
And because the resources are the same type: Vehicle, each resource's capacity is added together. This means if capacity nearly reached, you can simply assign another resource (with the same type) to increase the session's total capacity.
